Theory's name isn't just a name, it's our ethos. We develop & test theories about the future of technology, business, & venture capital through constant experimentation. Our office is where that happens: it's the physical expression of the firm, and the first thing every founder, LP, and guest experiences about us.
We're opening a new ~6,000 sq ft office in Jackson Square, San Francisco, and are looking for an Office Experience Manager who treats hospitality as a craft, someone with strong taste and a high bar who owns the feeling of walking through our door from lights-on to lights-off.
Ideally, this person:
- Cares deeply about the craft of front-of-house and customer experience, and treats hospitality as a discipline, not a checklist
- Brings strong taste and a high standard for how a space looks, feels, sounds, and functions
- Is energized by wearing many hats and doing whatever it takes; no task too big or too small
- Is anticipatory by nature; notices the empty soap dispenser, the low coffee, the flickering bulb before anyone else does
- Welcomes guests warmly and makes them feel taken care of, without hovering
- Is calm and resourceful under pressure; the kind of person who quietly makes problems disappear
- Aspires to grow into an events leadership role and cares about the end-to-end experience of being in our space
- Thrives in a warm, collaborative, & urgent culture
As our Office Experience Manager, you will own the physical and hospitality experience of Theory end to end: the space, the service providers, the guest experience, the systems that keep everything running, and the in-office events that bring our community together. You'll be in the office every day, first one in and last one out. This is a role with a clear growth path: as our event programming scales, you'll grow into owning it as our overall Experience Lead.
Responsibilities
Office Operations & Front of House
- Own the office day to day, lights on to lights off. You are the reason the space runs, every single day.
- Manage all service providers and vendors (cleaning, plants, coffee/espresso, security, maintenance, deliveries) and hold each to a high standard.
- Keep the space immaculate and fully stocked: kitchens and pantries restocked, bathrooms tidy with soaps full and toilet paper backups on hand, supplies replenished before anyone has to ask.
- Own the guest experience: greet and host founders, LPs, and visitors warmly, make them feel looked after, and read the room so you're present without hovering.
- Manage swag and the swag closet, ensuring we do not run out of stock / are prepared for events and Founder visits.
IT & Systems
- Troubleshoot and manage day-to-day IT and A/V needs: conference rooms, Wi-Fi, printers, displays, badging/access, and serve as the in-office point person with our IT vendor.
- Make sure every meeting room and system simply works; test proactively so nothing fails in front of a guest.
- Knowledgeable about our systems and able to help others navigate.
Events & Hospitality
- Support and help run our in-office events end to end, coordinating caterers, bartenders, and A/V, and owning setup, check-in and breakdown.
- Own event budgets: track spend, source and negotiate with vendors, and deliver on or under budget.
- Partner on the guest experience for dinners, salons, and gatherings so every event reflects Theory's taste and warmth.
Steward of the Space & Brand
- Treat the office as an extension of the Theory brand; obsess over the details that make people want to be here.
- Build the systems, playbooks, and vendor relationships that keep the experience consistent and let it scale as we grow.
Ideal Background & Profile
We care far more about taste, ownership, and instinct for hospitality than about a specific resume. Our expectation is that this profile has ~5-8 years of experience. This is a dedicated experience-and-operations craft, a career track that grows toward leading events and the office experience function, not a rotational or generalist stepping stone. The strongest candidates tend to come from environments where service is the product:
- Hospitality: front desk / guest relations at a luxury hotel, maître d' or GM at a fine-dining restaurant, or a role at a private members' club, where anticipating needs is second nature
- Premium retail or flagship experience roles, where the standard for how a space presents is exacting
- Executive Assistant, Personal Assistant, or Chief of Staff support at a design-forward or high-standards organization
- Event production, catering, or hospitality operations, with real budget and vendor-management experience
- Boutique, creative-agency, or startup office leadership where wearing many hats was the job
Above all: strong taste, high agency, warmth, and the drive to do whatever it takes to make the experience exceptional, with the ambition to grow into leading our events and office experience over time.
